In simple terms, PII redaction is the on-device process of finding and masking personally identifiable information in a document before it is shared.

Alumni anonymisation is the removal of personal identifiers from a former-staff contact set. UK GDPR Art. 5(1)(e) says personal data may be kept no longer than the purpose needs, and Art. 17(1)(a) gives a right to erasure once it is no longer necessary. Recital 26 is the way out: truly anonymous data sits outside the rules. anonym.plus marks names, e-mails, and contacts on your device, so aggregate trends survive while the individuals disappear.

When this applies

An alumni list is the classic file nobody deletes. Kept as names and personal e-mail addresses, it stays personal data with an open-ended retention problem and a marketing one: reg. 22 of the Privacy and Electronic Communications (EC Directive) Regulations 2003 governs the mailshot, and Art. 21(2) lets any alum object at any time. Anonymise instead and the trend data is yours to keep.

Limitations & cautions

True anonymity needs the reversible name map turned off; leave it on and the set can be re-linked, which keeps it in scope. A rare role in a small leaving year can still single out a person, so band those fields before you keep the file.

Frequently asked questions

How do I make alumni data truly anonymous?

Turn the name map OFF and use Replace. With no stored mapping, the identifiers cannot be restored, which is what Recital 26 asks.

Can I keep an alumni list for marketing instead?

Only on the usual terms — the PECR 2003 reg. 22 rules for electronic mail, an objection right under Art. 21(2), and a retention period you can justify under Art. 5(1)(e). An anonymised trend set avoids all three.

Is the roster uploaded?
